How do I manage utility deposits?

How do I create a utility deposit?

Utility Deposit tracking must be turned on in the Utility Billing Setup to track deposits.  Contact BIAS Support for assistance is needed.

Go to Cash Receipting > Cash Receipts

  1. Click Add New and enter your password.
  1. Enter User Password
  2. Select Type Utility Payment
  3. Enter the new customer by double-clicking in Customer field.
  1. Click Add New
  1. Check Is Utility Customer
  2. Enter Customer Address and Contact Info
  3. Click Save & Close
  1. Enter Utility Deposit amount
  2. Click Save & Close
  1. After Warning box will appears, Click Yes.
  1. Enter deposit Payment amount.
  2. Click cell under type of payment used and amount will populate automatically.
  3. Click Save & Close
  1. Click Print to print a receipt.

Go to Utility Billing > Customer Accounts

  1. Click to highlight customer that was entered in cash receipting.
  2. Click the blue magnifying glass next to Deposit.
  1. The deposit from cash receipting is visible under Utility Deposits.
How do I refund utility deposits?

Go to Utility Billing > Customer Accounts

  1. Click to select desired Customer
  2. Click the blue magnifying glass button next to Deposit.
  1. Click Issue Refund
  1. Select Apply To Balance to credit the customer's utility account or Issue Refund to create an AP entry to issue a refund check to the customer.
  2. Enter refund Date
  3. Select Bill Type Refund
  4. Select AP Status to
  5. Click Write
  1. Click Yes to confirm refund of deposit.

Deposit Balance will then be zero.

The Refund will now appear in the Customer Balance.

Refund will now appear in Transactions > Accounts Payable
